What is a GST Invoice Generator?

In India, a business that is registered for GST adds GST to its sales and shows it on the invoice. For every item, the invoice has to show the amount before tax, the GST rate and the GST amount, split as CGST and SGST or as IGST. Doing this by hand for many items is slow, and a small mistake changes the total. A GST invoice generator does the arithmetic and puts the details into a clear layout.

This tool is made for freelancers, shopkeepers and small businesses. You fill in a form, and it works in your browser, so the details of your business and of your clients stay on your device.

How to Create a GST Invoice

  1. Your business: Enter your business name, your GSTIN and your address.
  2. Your client: Enter the name and the address of the person or business that you are billing.
  3. Invoice details: Enter the invoice number and the date.
  4. Items: For each item enter the name, the quantity, the price before GST and the GST rate. Use Add item for more rows. The GST of each item is worked out for you.
  5. Intra-State or Inter-State: Choose CGST + SGST if the sale is within one state, or IGST if it is to another state.
  6. Check the totals: Look at the total amount, the total GST and the grand total.
  7. Generate: Click Generate Invoice and check the preview carefully.
  8. Download: Click Download PDF to save the invoice. To change something, go back to the form and generate again.

CGST, SGST and IGST

GST has three parts on an invoice. Which ones you show depends on whether the sale is within one state or between two states.

TaxStands forUsed forHow much
CGSTCentral GSTA sale within one state (intra-state)Half of the GST rate
SGSTState GSTA sale within one state (intra-state)Half of the GST rate
IGSTIntegrated GSTA sale from one state to another (inter-state)The whole GST rate

For an 18 percent item, an intra-state sale shows 9 percent CGST and 9 percent SGST, and an inter-state sale shows 18 percent IGST. The total GST is the same in both cases. What changes is how the tax is split between the central and the state governments.

Intra-State or Inter-State?

In general, a sale is intra-state when the supplier and the place of supply are in the same state, and inter-state when they are in different states. The first two digits of a GSTIN show the state, which is a useful hint.

Your business is inYour client is inUsuallyTax shown
MaharashtraMaharashtraIntra-stateCGST + SGST
MaharashtraKarnatakaInter-stateIGST
  • The place of supply is decided by GST rules. For many sales of goods it is where the goods are delivered, and for some services it is the location of the recipient or another place, so it is not always where your client lives.
  • The tool does not decide this for you. You choose the toggle, so choose carefully.
  • Union territories: In some union territories, the state part of GST is called UTGST. This tool shows it as SGST.
  • If you are not sure, ask a CA before you send the invoice, because the wrong choice changes the tax that is shown.

How GST is Calculated for Each Item

taxable value = quantity x price (before GST)
GST amount = taxable value x GST rate

Intra-state: CGST = GST amount / 2
              SGST = GST amount / 2
Inter-state: IGST = GST amount

Total Amount = sum of all taxable values
Total GST = sum of all GST amounts
Grand Total = Total Amount + Total GST

The tool works out the GST for every item separately and then adds the items up. Amounts are shown to two decimal places. Enter the price before GST. To find the price before GST from a price that already includes it, use the GST Calculator with the Remove GST option first.

Example: A Sale Within One State

This is a made-up invoice. The rates of 18 percent and 5 percent are only used to show the arithmetic. They are not advice on the rate for any real item.

ItemQtyPriceTaxable valueGST rateCGSTSGST
Design service1₹10,000.00₹10,000.0018%₹900.00₹900.00
Product A4₹500.00₹2,000.005%₹50.00₹50.00
Total₹12,000.00₹950.00₹950.00
SummaryAmount
Total Amount (before GST)₹12,000.00
Total GST (CGST ₹950.00 + SGST ₹950.00)₹1,900.00
Grand Total₹13,900.00

Example: The Same Sale to Another State

Same items and the same prices, but the client is in another state, so the tax is IGST.

ItemTaxable valueGST rateIGST
Design service₹10,000.0018%₹1,800.00
Product A₹2,000.005%₹100.00
Total IGST₹1,900.00

Total Amount is ₹12,000.00, Total GST is ₹1,900.00 and the Grand Total is ₹13,900.00, the same as before. Only the way that the GST is shown is different.

Rounding: Why a Paisa Can Differ

Money is shown to two decimal places. With an intra-state sale, CGST and SGST are each rounded. With an inter-state sale, IGST is rounded once. On some amounts this makes the two totals differ by one paisa.

Example: 3 items at ₹199.99, GST rate 18%Intra-stateInter-state
Taxable value (3 x 199.99)₹599.97₹599.97
Exact GST (599.97 x 18%)₹107.9946
Tax shownCGST ₹54.00 + SGST ₹54.00 = ₹108.00IGST ₹107.99
Grand Total₹707.97₹707.96

The difference is small and comes only from rounding. Check the rules and your accounting method if you need amounts to match a particular way of rounding.

GST Rates

The GST rate depends on what you sell. For goods it is set by HSN code, and for services by SAC code, and the GST Council decides the rates. The rates have changed over time, and they can change again.

  • The tool does not know which rate applies to your item. The rate list in the tool is only a convenience. You choose the rate.
  • Look up the current rate for your item on the official GST or CBIC website, or ask a CA, before you send an invoice.
  • Different items can have different rates on the same invoice, and that is why the tool works out the GST for each item.
  • 0 percent is not the same as exempt. A nil-rated or exempt item may need a different kind of document. Ask a CA.
  • Rates in the tool were last checked: [add month and year].

What a GST Tax Invoice Usually Includes

A tax invoice normally has to carry certain details. The exact list depends on the type of supplier and the type of sale, so use this table as a general guide and check the GST rules or ask a CA.

DetailThis tool has a field for it
Supplier name, address and GSTINYes
Invoice number (a unique serial number for the financial year)Yes
Date of the invoiceYes
Recipient name and addressYes, in the client details
Recipient GSTIN, for sales to registered businessesNot as a separate field. Type it in a line of the client details that you control
Description of the goods or servicesYes, in the item name
HSN code for goods or SAC code for servicesNot as a separate field. Type it in the item name
QuantityYes. There is no separate unit field, so add the unit to the item name if you need it
Taxable value, GST rate and GST amount for each item (CGST and SGST, or IGST)Yes
Total value of the invoiceYes, the Grand Total
Place of supply (state), for inter-state salesNot as a separate field. Type it in the client details
Whether tax is payable on reverse chargeNo
Signature of the supplier or the authorised personNo. Sign the printed copy, or add a signature in the way that your business uses

The rows that this tool does not have as separate fields matter for a real tax invoice. If your invoice needs them, add them where you can, and check the rules for your case.

GSTIN

A GSTIN is the 15-character GST identification number of a registered business. It has a fixed structure.

PartExampleMeaning
State code27The first two digits show the state, here Maharashtra
PANABCDE1234FThe next ten characters are the PAN of the business or the person
Entity number1The number of the registration under the same PAN in that state
Letter ZZA fixed character
Check character5The last character, used to check the number

The example 27ABCDE1234F1Z5 is made up and is not a real GSTIN. A few state codes: 07 is Delhi, 27 is Maharashtra, 29 is Karnataka and 33 is Tamil Nadu.

  • The tool checks only that the GSTIN has the right shape. It cannot tell if the number is real, active or belongs to the business that you named.
  • Verify a GSTIN on the official GST portal, especially for a new client.

Invoice Numbers

  • A GST invoice number is generally a unique serial number for the financial year, up to 16 characters long. It can use letters, numbers, a hyphen and a slash.
  • A good pattern is a prefix, the financial year and a running number, for example INV/2026-27/0001, which is exactly 16 characters.
  • The Indian financial year runs from 1 April to 31 March, so an invoice dated in November 2026 belongs to 2026-27.
  • Never use the same number twice in the same financial year, and keep a list of the numbers that you have used.
  • If you make a mistake, do not reuse the number. Follow the GST rules for cancelling or correcting an invoice, for example with a credit note, and ask a CA.

HSN and SAC Codes

HSN (Harmonised System of Nomenclature) codes classify goods, and SAC (Services Accounting Code) codes classify services. They decide the GST rate of an item, and many tax invoices have to show them. Whether you must show them, and how many digits, depends on your business and your turnover.

  • This tool has no separate HSN or SAC field. If you need one, type it in the item name, for example Website design (SAC: your code).
  • Find the right code on the official GST or CBIC website, or ask a CA. The tool does not suggest codes.

Tax Invoice, Bill of Supply and Other Documents

DocumentWhen it is usedMade by this tool
Tax invoiceA registered business that is allowed to charge GST shows the GST on its saleYes, an invoice that charges GST
Bill of supplyNo GST is charged, for example by a composition scheme business or for exempt suppliesNo
Proforma invoiceA preview of a sale before it happens. It is not a tax documentNo
Credit note and debit noteUsed to change an invoice after it was issuedNo
E-invoiceRequired for businesses above a turnover limit. It is registered on a government portalNo

Who Can Charge GST?

  • In general, only a business that is registered for GST can charge GST on an invoice.
  • A business under the composition scheme cannot collect GST from customers and issues a bill of supply.
  • A business that is not required to register, and has not registered, cannot charge GST.
  • Charging GST when you are not allowed to can cause trouble. Check your registration and ask a CA if you are unsure.

E-Invoice and E-Way Bill

Some businesses above a turnover limit must generate their invoices through the government's e-invoicing system, which adds a unique reference number and a QR code. Some movements of goods above a value limit also need an e-way bill. This tool does not make e-invoices or e-way bills. A PDF made here has no government reference number or QR code. Check whether these rules apply to your business.

Rupees and Indian Number Format

  • All amounts are in Indian rupees, shown with the ₹ sign and two decimals.
  • Indian invoices usually group digits as lakhs and crores, for example 1,23,456.00, and not 123,456.00.
  • Many invoices also show the total in words. The Number to Words (Rupees) tool on this website can help you write the amount in words.

PDF and Print

  • Check the whole PDF before you send it. A long list of items or long names can change where a page breaks.
  • Check the ₹ sign and your names. Look at the rupee sign, and at any Hindi or other non-English names, in the PDF.
  • On a phone, downloading works differently on different phones and browsers. The PDF may open in a new tab, and you save it from there.
  • Send it yourself. The tool makes the file only. You send it to your client by email or in any way that you use.
  • Keep a copy. The tool does not save your invoices, so keep the PDF with your records for as long as the rules require.

Tips for Small Businesses

  • Check the GST rate of each item before you invoice. A wrong rate means a wrong invoice.
  • Choose Intra-State or Inter-State with care. Look at the state of your business and the place of supply.
  • Collect the GSTIN of your business clients and verify it. They may need it to claim input tax credit.
  • Use a clean running invoice number for each financial year.
  • Describe the item clearly, and add the HSN or SAC code if you need it.
  • Keep every invoice and your records together, so that your CA can file your returns.
  • Ask a CA early. A short talk about your registration, your rates and your invoice format can save a lot of trouble.

Common Mistakes

  • Entering a price that already includes GST: The tool adds GST on top, so the total comes out too high.
  • Choosing the wrong toggle: CGST + SGST for a sale to another state, or IGST for a sale within the state.
  • Using an old or wrong GST rate: Check the current rate for the item.
  • Reusing an invoice number within the same financial year.
  • Leaving out required details: HSN or SAC codes, the client's GSTIN or the place of supply can be needed on a tax invoice.
  • Charging GST when you are not allowed to, for example if you are not registered or you are under the composition scheme.
  • Treating a PDF from this tool as an e-invoice: It is not.
  • Trusting a GSTIN just because it has the right shape: The tool cannot verify it.

Good to Know

  • The tool makes an invoice file. It does not send the invoice, take payments, file returns or keep a list of your old invoices.
  • It does not know tax rules. It adds up the rates and the choices that you make.
  • It does not support exports, supplies to special economic zones, reverse charge, cess, TCS, TDS or composition bills.
  • The state part of GST is shown as SGST. The tool does not switch it to UTGST for union territories.
  • The tool works in Indian rupees only.
  • GST rules and rates change from time to time. Check the official sources for the latest rules.

Privacy

  • Your invoice is made in your browser, and the details that you enter, including GSTINs, names and addresses, are not sent to our server.
  • We do not save your invoices or your client details. They are gone when you close or reload the page, so download what you need.
  • Downloaded PDFs are files on your device. Keep them safe, because they contain names, addresses, GSTINs and amounts.
  • On a shared or public computer, close the page and delete the downloaded files when you finish.
  • Only enter details of clients and businesses that you have a right to use on an invoice.

Frequently Asked Questions

How do I create a GST invoice with this tool?

Enter your business name, GSTIN and address, your client's details, the invoice number and the date. Add each item with its name, quantity, price and GST rate, and choose Intra-State (CGST and SGST) or Inter-State (IGST). The tool works out the GST for every item and shows the total amount, the total GST and the grand total. Click Generate Invoice to see a preview, then click Download PDF.

What is the difference between CGST, SGST and IGST?

CGST is the central part and SGST is the state part of GST on a sale within one state. They are charged together, and each one is half of the GST rate. IGST is the whole GST rate, charged as one tax on a sale from one state to another. For example, 18 percent GST is 9 percent CGST plus 9 percent SGST on an intra-state sale, or 18 percent IGST on an inter-state sale. The total GST is the same either way.

How do I know whether a sale is intra-state or inter-state?

In general, a sale is intra-state when the supplier and the place of supply are in the same state, and inter-state when they are in different states. The place of supply is decided by GST rules, and for some services and special cases it is not simply where the customer lives. The tool does not decide this for you. You choose the toggle, so check the rules for your sale or ask a Chartered Accountant (CA) if you are unsure.

Is an invoice made here a valid GST tax invoice?

The tool puts the details that you enter into a clean layout and works out the GST. It does not check whether the invoice meets GST rules. A tax invoice normally has to include certain details, for example HSN or SAC codes, the place of supply and, for sales to registered businesses, the customer's GSTIN, and the exact requirements depend on your case. Check the GST rules or ask a CA before you rely on an invoice.

Does the tool make e-invoices or e-way bills?

No. Some businesses above a turnover limit must generate e-invoices through the government's invoice registration system, and some movements of goods need an e-way bill. This tool does neither. A PDF made here is not an e-invoice and has no QR code or invoice reference number from the government.

What is a GSTIN, and does the tool check it?

A GSTIN is the 15-character GST identification number of a registered business. The first two digits are the state code, the next ten characters are the PAN, followed by an entity number, the letter Z and a check character. The tool only checks that what you type has this shape. It cannot tell whether the number is real or active. Verify a GSTIN on the official GST portal.

Which GST rate should I choose for an item?

The rate depends on what you sell. It is set by the GST Council for goods by HSN code and for services by SAC code, and rates change from time to time. The rate list in the tool is a convenience, and the tool does not know which rate applies to your item. Look up the current rate for your item on the official GST or CBIC website or ask a CA.

Should I enter the price with or without GST?

Enter the price before GST. The tool adds the GST on top. If you only know a price that already includes GST, use the GST Calculator on this website with the Remove GST option to find the price before GST first.

How is the GST for each item calculated?

For each item, the taxable value is the quantity multiplied by the price. The GST is the taxable value multiplied by the GST rate. For an intra-state sale, half of it is CGST and half is SGST. For an inter-state sale, all of it is IGST. The totals add up all the items. For example, one item of 10,000.00 rupees at 18 percent gives 1,800.00 rupees of GST, which is 900.00 CGST and 900.00 SGST.

Why can the total differ by a paisa between intra-state and inter-state?

Amounts are rounded to two decimal places. With intra-state, CGST and SGST are each rounded, and with inter-state, IGST is rounded once, so on some amounts the totals differ by one paisa. For example, on a taxable value of 599.97 at 18 percent, CGST and SGST are 54.00 each, which gives 108.00, while IGST is 107.99.

What invoice number should I use?

A GST invoice number is generally a unique serial number for the financial year, up to 16 characters long, using letters, numbers, a hyphen or a slash, for example INV/2026-27/0001. Keep a running order and never use a number twice in the same financial year. Check the rules for your case, and keep a list of the numbers that you have used.

Can I charge GST if I am not registered, or if I am under the composition scheme?

In general, only a registered business can charge GST on an invoice. A business under the composition scheme cannot collect GST from customers and issues a bill of supply and not a tax invoice. Rules and exceptions exist, so ask a CA about your case. Do not use a tax invoice if you are not allowed to charge GST.

Does the tool have fields for HSN or SAC codes?

Not as a separate field in this version. If your invoice needs an HSN or SAC code, you can type it into the item name, for example Website design (SAC: your code). Many tax invoices need these codes, depending on the business and its turnover, so check the rules for your case.

Does it support exports, SEZ supplies, reverse charge, cess or composition bills?

No. The tool makes a standard invoice with CGST and SGST, or IGST, at the rate that you choose for each item. It does not handle exports, supplies to special economic zones, reverse charge, cess, TCS, TDS or composition scheme bills. For these cases use accounting software or ask a CA.

What is the difference between a tax invoice and a bill of supply?

A tax invoice shows GST charged to the customer and is issued by a registered business that is allowed to charge GST. A bill of supply is issued when no GST is charged, for example by a composition scheme business or for exempt supplies. A proforma invoice is a preview of a sale before it happens and is not a tax document. This tool makes invoices that charge GST.

Is my information sent to a server?

No. The invoice is made in your browser using JavaScript, and the details that you enter, including GSTINs and addresses, are not sent to our server. We do not save them. They are gone when you close or reload the page, so download what you need.

Does it work on a phone?

Yes, the page is designed for phone screens. Downloading works differently on different phones and browsers, and on some of them the PDF opens in a new tab, from where you save it.

Is this GST invoice generator free, and is it a replacement for a CA?

The tool is free and needs no signup. It is not tax, accounting or legal advice and is not a replacement for a Chartered Accountant. WebToolsKit is not connected with the GST Network, the CBIC or any government body.
